Purpose
This article explains how to restrict employees from viewing or searching employees belonging to other legal entities or group companies within HRStop.
This feature is useful for organizations using a multi-entity setup, where each company under the same group needs to maintain privacy and data separation.
When enabled, employees will only see and search for other employees within their own entity in the Employee Directory.
When You May Need This
- When your organization has multiple registered entities under one HRStop instance.
- When you want to ensure employee directory privacy between group companies.
- When employees from one entity should not access or view details of employees from another entity.
Pre-requisites
- The Employee Search option must already be enabled in the Self-Service Portal.
- To enable: Navigate to Control Panel → Settings → Modules, and turn ON the Employee Searchfeature.
- You must have administrator access to the Settings module in HRStop.
Step-by-Step: How to Restrict Employee Visibility
- Log in as an Administrator with permission to manage the Settings module.
- Navigate to Control Panel → Settings → Employee Module.
- Scroll down to the section labeled Employee Search Display Settings.
- Under the Filter Options segment, locate and enable the checkbox “Show Employees for the Same Entity.”
- Click Update at the bottom of the page to save the changes.
Result
Once this setting is enabled:
- Employees will only see coworkers who belong to the same legal entity.
- If they search for an employee from a different entity, the system will show the message:“No records found.”
- This ensures complete data privacy and segregation between group companies under the same HRStop account.
Example
If your organization is Great Developers Group with two entities —
- HRStop Technologies Pvt. Ltd., and
- HRStop Cloud Services Pvt. Ltd.
Employees from HRStop Technologies will now only be able to view and search colleagues within their own entity, not from HRStop Cloud Services.
